BBA Website Revamp
1. Project Overview
The Boston Blockchain Association (BBA) is seeking a qualified freelancer or small agency to execute a website refresh. The current site (bostonblockchain.org) is functional but dated. The core site architecture and navigation will remain intact; this engagement covers design review and refinement, content updates, and front-end implementation.
The BBA is a volunteer-led nonprofit organization and is seeking a highly self-directed vendor who can independently drive execution, proactively manage timelines and dependencies, and minimize management overhead for the BBA team.
The BBA has already developed a prototype in Lovable (an AI-powered design tool). The selected vendor will review that prototype, propose targeted refinements, and then build and launch the updated site by July 22, 2026.

2. About the Boston Blockchain Association
The BBA is a nonprofit that promotes the adoption and growth of blockchain technology in Greater Boston through education, advocacy, and community building. The BBA hosts 175+ average event attendees, maintains 5,000 email subscribers, and reached 3,000+ attendees across 2026 events. Members include innovators, institutions, and market leaders across the blockchain ecosystem.
3. Scope of Work
This engagement consists of four workstreams. All four are required; vendors must bid on the full scope.
Workstream 1 — Design Review and Refinement
The BBA will provide access to the existing Lovable prototype, which establishes the layout direction, color palette, and component structure. The vendor is expected to:
- Review the prototype against current web design best practices and the BBA’s goals (professional credibility, community energy, mobile-first)
- Identify specific, actionable improvements — layout, typography, color, whitespace, hierarchy — with rationale
- Benchmark to other peer blockchain organizations
- Deliver a concise written design brief (1-2 pages) summarizing recommended changes prior to build
- Obtain BBA approval on the design brief before proceeding to build
- If the approved design brief includes changes to the color palette, the vendor will deliver two additional assets at no extra cost: an updated LinkedIn banner sized for the BBA company page, and an updated newsletter header matched to the new color scheme. These will be delivered alongside the staging environment in Workstream 3.
Note: The BBA is not seeking a ground-up redesign. The Lovable prototype is the baseline. Recommended changes should be targeted and justified. Wholesale departures from the prototype are out of scope.
Workstream 2 — Content Integration
The BBA will provide all updated content (text, photos, bios, logos, partner assets) by June 19, 2026. The vendor’s role in this workstream is to:
- Provide a content intake template to the BBA within 3 days of contract execution, organized by page
- Flag any content gaps or inconsistencies before build begins
- Integrate all provided content into the redesigned pages per the approved design brief
- Ensure image assets are properly optimized for web (file size, aspect ratios, alt text)
The BBA is responsible for content accuracy and delivery on schedule. Content delays beyond June 19 will push the launch date on a day-for-day basis; the vendor is not obligated to compress downstream milestones to absorb BBA-caused delays. The vendor should flag this risk immediately if it arises.
Workstream 3 — Build and Launch
- Implement the approved design in WordPress using the JupiterX theme
- Build to mobile-first standards; responsive across desktop, tablet, and mobile
- Preserve all existing URLs and redirects — SEO continuity is required
- Deploy to a staging environment for BBA review prior to go-live
- Conduct one round of consolidated BBA feedback and revisions on staging
- Execute production launch
- Provide post-launch documentation: CMS editing guide for non-technical BBA staff (covered in full under Workstream 4)?
Workstream 4 — Transition and Handoff
The BBA is a volunteer-maintained organization. A clean handoff is essential to ensure the site can be managed independently after launch without ongoing vendor dependency. This workstream covers all transition activities.
- All design files, reusable assets, implementation artifacts, and related source materials created during the engagement must be delivered to the BBA at project completion.
- Credentials inventory delivered to BBA prior to launch: WordPress admin login, hosting panel access, Cloudinary (or equivalent image hosting), and domain registrar — all accounts must be in BBA ownership, not the vendor’s
- Written how-to documentation covering common maintenance tasks: updating page text, swapping or adding photos, editing team member bios, and publishing or removing events — written for a non-technical user
- 60-minute live walkthrough via video call with designated BBA staff, covering each page type and common editing tasks in JupiterX — session to be recorded and provided to BBA for future reference
- 30-day post-launch bug fix window at no additional cost — covers defects in delivered work only; not new features, content changes, or requests outside the original scope
Workstream 5 (Optional) — Website Hosting and Ongoing Operations
This workstream is optional. Vendors are invited to include a separate, clearly itemized proposal for hosting and ongoing site operations following the 30-day post-launch bug fix window. Pricing and scope for this workstream will be evaluated independently and will not affect scoring on the core engagement.
If proposing this workstream, please include:
- Hosting environment and provider (e.g., WP Engine, Kinsta, SiteGround) — with rationale for why it suits a nonprofit WordPress site
- Scope of ongoing operations: plugin and theme updates, uptime monitoring, security scanning, backups, and routine maintenance
- Monthly retainer cost and any one-time migration or setup fees
- Minimum contract term and cancellation terms — the BBA requires no lock-in of more than 30 days’ notice to exit
- Support SLA: expected response time for site-down incidents and routine requests
All hosting accounts and credentials must remain in BBA ownership. The BBA will not accept arrangements where access is gated through the vendor’s own accounts.
4. Out of Scope
The following are explicitly out of scope for this engagement:
- New features or functionality (e.g., member portal, event registration system, job board)
- Ground-up redesign or rebrand — the Lovable prototype is the design baseline
- Content creation, copywriting, or photography — BBA provides all content
- Ongoing maintenance or hosting beyond the 30-day post-launch bug fix window (unless selected as optional Workstream 5)
- SEO strategy or paid search — technical SEO preservation only
